This policy explains what personal data Hakuu Technology collects when you use our website and platform, why we collect it, and the choices you have.

1 Who we are

Hakuu Technology (“Hakuu”, “we”, “us”) is a trading name of Hakuu Kusunoki, a sole trader based at 32 Talbot Road, Bristol, BS4 2NN, United Kingdom. We are the controller of personal data about visitors to our website and about Operators who use the Platform.

For any privacy question or request, email shiroamekusu@gmail.com. Terms such as “Platform”, “Operator” and “Player” have the meanings given in our Terms of Service.

2 Our role for Player data

When a Player buys or uses a subscription, membership or perk on a server, we process some of their personal data on behalf of the Operator who runs that server. For that data, the Operator is the controller and we act as their processor. If you are a Player, the Operator’s own privacy notice applies. You can contact the Operator directly, or contact us and we will pass your request on.

We are the controller of Player data that we use for our own purposes, such as preventing fraud, keeping the Platform secure and keeping the records the law requires.

5 Who we share it with

  • Operators — Player data is shared with the Operator of the server the Player bought from, so they can provide what was paid for.
  • Payment service providers who process payments made through the Platform.
  • Service providers who host the Platform, send email or provide similar services for us, under contracts that require them to protect the data.
  • Professional advisers such as accountants, lawyers and insurers.
  • Authorities, where the law requires it or where it is necessary to protect our rights or the safety of others.
  • A buyer or successor, if our business is sold or reorganised.

We do not sell personal data.

6 International transfers

Some of our service providers may process data outside the UK. When that happens, we make sure the data stays protected — for example by relying on UK adequacy regulations, or on the International Data Transfer Agreement or Addendum approved by the Information Commissioner. Contact us if you would like more detail.

7 How long we keep it

  • Account and server data: while your account is open, then deleted or anonymised within a reasonable period after it closes, unless we need to keep it for one of the reasons below.
  • Transaction and invoice records: up to six years after the end of the financial year they relate to, to meet UK tax and accounting requirements.
  • Player data processed for Operators: as instructed by the Operator, and deleted or returned when the Operator’s account ends, unless the law requires us to keep it.
  • Technical logs: for a limited period, for security and troubleshooting.
  • Marketing preferences: until you unsubscribe.

8 Your rights

Under UK data protection law, you have the right to:

  • get a copy of the personal data we hold about you;
  • have inaccurate data corrected;
  • have your data deleted;
  • restrict how we use your data;
  • object to our use of your data, including for direct marketing;
  • receive your data in a portable format;
  • withdraw your consent at any time, where we rely on consent.

To use any of these rights, email shiroamekusu@gmail.com. We will reply within one month and may ask you to confirm your identity first. There is normally no fee.

If you are unhappy with how we have handled your data, you can complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113. We would appreciate the chance to deal with your concerns first.

9 Cookies and this website

This website does not use advertising or analytics cookies. It loads fonts from Google Fonts, which means your browser connects to Google’s servers and shares your IP address with Google.

The Platform uses cookies that are strictly necessary to keep you signed in and secure. If we ever introduce cookies that are not strictly necessary, we will ask for your consent first.

10 Children

Operator accounts are for adults aged 18 or over. The Platform is not directed at children under 13; if you believe a child under 13 has given us personal data without a parent’s or guardian’s consent, contact us and we will delete it. Players under 18 need a parent’s or guardian’s permission before making a purchase.

11 Security

We use technical and organisational measures to protect personal data, including encryption in transit, access controls, and limiting access to people who need it. No system is perfectly secure; if a breach affects your data and puts you at risk, we will tell you as the law requires.

12 Changes to this policy

We may update this policy from time to time. The date at the top shows when it last changed. If we make a significant change, we will tell Operators by email.
